Front Desk Coordinator, Part-Time, Wayne, PA

Job Summary

Our company is currently looking for an experienced part-time Front Desk Coordinator for our HQ office in Wayne, PA.  This position will play an integral role in the customer service and organizational strength of our company.  The Office Coordinator will provide administrative support, greet and direct visitors, answer and respond to calls and emails, and work on various projects as assigned.  Qualified candidates will have excellent verbal and written communication skills, a strong ability to multi-task and a friendly demeanor.

Responsibilities and Duties

  • Answer phones, route to proper recipient, take accurate messages, respond to general information about the company
  • Conduct clerical duties including filing, responding to emails and preparing documents
  • Greet visitors and direct them to the appropriate offices
  • Oversee office and kitchen supplies, including ordering, stocking and tracking while maintaining tidiness
  • Occasionally book conference rooms/ manage reservations
  • Employee relations- planning and executing company events
  • Facilitate ordering lunch for the office and individual meetings
  • Manage corporate hotel relationships, negotiate annual rates
  • Responsible for relationship with building manager; submitting tickets for odd jobs (ie: break/fix, change lights, special cleaning requests)
    • Responsible for managing suite access cards; new, replacements or terminations; maintain master list making sure it is up to date
  • Manage FedEx Account; send shipments regularly as requested
  • Provide Administrative Support
  • Schedule meetings and travel arrangements for senior members of the company and/or Board
  • Coordinate Project Deliverables as assigned

Qualifications and Skills

  • Associate degree desired but not required
  • 2+ years’ experience working in an office setting
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite, including Word, Excel and Outlook
  • Ability to multi-task and prioritize projects
  • A team player with a can-do attitude
  • Must be able to carry/move boxes (office supplies) up to 50 lbs.
